What Reports Are Available
for my Club’s Survey Data?


Using the reports created by the Tool Kit, Clubs can look at the outcome indicator scores for the surveys their youth complete. These automated report templates make it easy for Clubs to run reports based on their data and interpret the scores without having to deal with cumbersome calculations and complicated statistics.

The Tool Kit can generate three Club-specific reports summarizing young people’s survey scores:

REPORT 1: OVERALL RESULTS FOR ALL CLUB OUTCOME INDICATORS

Report 1 summarizes the overall outcome indicator scores for all the respondents who completed the surveys at our large sample Club, the Boys & Girls Club of Anywhere, USA.

This report gives the Boys & Girls Club of Anywhere a feel for its overall survey results. The bars show the percentage of the Club’s survey takers who scored in each of three categories:

Room to Grow
Doing Fine
Doing Great

This is the Boys & Girls Club of Anywhere’s baseline outcome indicator report. It can be used to gauge how the Club’s members are doing currently in each outcome category. By being compared to results from one or more subsequent survey administration periods, it can also be used to track changes in how the Club’s members are doing over time.

REPORT 2: RATES OF PARTICIPATION IN EIGHT CATEGORIES OF CLUB ACTIVITIES BY GRADE LEVEL

This report summarizes the percentage of youth at Boys & Girls Club of Anywhere who said they participate in each of eight types of Club activities: sports/fitness, homework help, activities or discussions about making good choices, arts, games, computer lab, swimming and leadership programs (leadership was not measured at the elementary grades, so scores are only available for Clubs that surveyed middle- and high-school youth).

The different-colored bars show the trends for elementary-level youth (green bar), middle-grade youth (light blue bar) and high-school youth (orange bar).

This report tells the Club about activity participation patterns among the youth who completed surveys. It also shows how activity participation is different or similar for elementary, middle, and high school youth.

REPORT 3: DEEPENING IMPACT: OUTCOME INDICATOR SCORES BY LENGTH OF CLUB MEMBERSHIP

This report summarizes the outcome indicators for youth at the Boys & Girls Club of Anywhere, organized by the number of years they have been Club members. Results for three categories of Club members are reported:

  • Those who have been members for less than one year.
  • Those who have been members for one to two years.
  • Those who have been members for three or more years.
For each Club member category, the column called Indicator Level tells the percentage of youth scoring in the Room to Grow, Doing Fine and Doing Great ranges.

The outcome indicator scores in this report are organized by BGCA’s strategic plan goals of Deepening Impact (Club benefits and connections, activities participation) and Strengthening Character (caring, responsible and productive youth). The report shows the level of achievement of these outcomes in youth based on the length of time they have been members.

How Do I Access my Club’s Data?

To access your Club’s cumulative survey data and generate reports using the Tool Kit’s report templates, you will need to do the following:

  1. Log on to the system using the password and Club ID provided to you by BGCA.
  2. A screen will appear containing an interactive form featuring drop-down menus and check-off boxes that you can use to select the report option and define the criteria, such as outcome indicators and grade level, that you want to use to generate your report. Once you have made your selections, click on the button Generate Report, and the Tool Kit will process your data and produce your report.
  3. To download your data into an MS Excel spreadsheet to do additional manual analysis, select Data Export for your report option, define your criteria, and click on Generate Report. After the Tool Kit gathers your data, a File Download window will appear that will give you the option to either open or save your new Excel file to your computer.
